Unused software licenses and license noncompliance are bigger, more expensive problems than ever before. Recent data highlights the magnitude of these two issues.
According to industry reports, more than half of enterprise SaaS licenses are unused. Organizations with more than 200 employees waste 48 percent of their software spend — more than $235,000 every year.
If unused licenses represent leaking money, noncompliance represents a financial time bomb. Almost a third of organizations that failed a software license audit incurred penalties exceeding $1 million.
These problems are often caused by incomplete visibility across hybrid environments. Static, manual spreadsheets cannot track license usage across a messy mix of on-premises servers, cloud-hosted assets and remote employee laptops.
By merging IT service management (ITSM) and IT asset management (ITAM), organizations can take the guesswork out of license management. AI-powered ITSM enables intelligent automation of the entire license management workflow.
Unused Licenses Equal Wasted Spend
Organizations often buy software that employees rarely or never open. Manually emailing employees to ask if they still need an app is time-consuming and often ignored. Even if IT teams know software is unused, they rarely have the time to log into a machine and uninstall it.
ITAM discovery tools monitor software launch logs on endpoints. If a user has not opened an application within the defined timeframe, the system triggers an ITSM ticket. The employee is notified that the software will be removed unless they take action. If the employee fails to respond, ITSM triggers a deployment tool to uninstall the app.
The ITAM system moves that license into the available pool. When a new user submits an ITSM service request for software, the system checks the pool first. If a harvested license is available, it is assigned to the new user. By recycling licenses, organizations can save up to 30 percent on their annual software spend.
Preventing Vendor Audit Crises
This visibility also protects the organization during vendor audits. Every software installation, upgrade or removal is tied to an ITSM Change Request ticket. IT gains an immutable audit trail showing who authorized the change, why it happened, and when it was executed.
Modern software licensing is rarely a simple “one license per person” model. Many vendors charge based on architectural metrics. Because ITSM maps the entire IT infrastructure topology, the ITAM engine can apply complex vendor licensing rules to that architecture to determine compliance.
ITSM/ITAM integration also protects against shadow IT. Continuous network discovery scans (ITAM) detect rogue installations. The system automatically creates an ITSM compliance ticket, assigning a technician to remove the software or purchase a license before a vendor audit catches it.
AI as a Force Multiplier
AI-powered ITSM amplifies the power of an ITAM/ITSM integration. While a traditional integration connects the data, it still relies on human intervention. AI creates a cognitive layer that automatically executes complex license management tasks.
Autonomous AI service agents continuously scan usage logs. If they detect a dormant license, they conduct a conversational chat with the employee and automatically command the deployment tool to harvest the software.
LLMs parse through vendor contract PDFs and cross-reference ITSM Change Requests with the contract rules. Engineers are alerted if the change will trigger a licensing penalty.
Natural language processing allows employees to type a request simply: “I need to edit some vector graphics for a client presentation next week.” AI analyzes the user’s role and checks the ITAM repository. Instead of purchasing software, AI grants a temporary, low-cost license or suggests a pre-approved tool already available in inventory.
How Technologent Can Help
Only about half of organizations have successfully integrated their ITAM tools with their ITSM platforms. The remainder still struggles with disconnected data silos. Technologent’s ITSM and AI experts can help you identify pain points, unify data, and link asset provisioning to incident management and license requests. By combining ITAM and ITSM, the IT team will never buy what it already owns, never pay for what it doesn’t use and never get surprised by a compliance penalty.
